Your booking


Please take time to read the information below before making your booking as it contains vital information regarding cancellation policies, amenities and services at the site and our terms, which will assist you with planning your holiday.

We reserve the right to accept or decline bookings entirely at our discretion.  When you submit a booking via our online reservation system, you will receive an automatically generated booking summary by email to the email address you provide in the booking form.   This does not form a contract between us.  A contract shall only arise when your booking is subsequently confirmed in writing via a letter of confirmation sent to you by email. 

Having booked a reservation on our website or via email communication directly with us, you are hereby agreeing to abide by our policies and procedures set out in the terms and conditions below.  The terms ‘we’, ‘our’ and ‘us’ mean Cuckmere Camping Pods.

You, as the person making the booking, will be responsible for all members of your party and must be 18 years of age or over.  Children under the age of 18 must be accompanied by an adult.  We can only discuss your bookings (including any changes) with you, we cannot discuss the booking with another member of your party unless you give express consent for us to do so.

COVID-19

We are taking a number of steps in response to Covid-19 to help keep everyone as safe as possible and to reduce the risk of spreading coronavirus among our guests, our team members and the local community.  Please don’t arrive if you or anyone in your party have tested positive for Covid 19 or are showing signs of symptoms i.e. high temperature, continuous cough or loss of taste and smell etc.  If you have tested positive or have symptoms and you are booked to stay with us, please notify us by email to discuss the cancellation or postponement of your booking.

Lockdowns

Should we have to close our accommodation due to future government COVID-19 lockdowns we will not be in a position to offer refunds for bookings made in “Covid aware” times, i.e. after the start of the lockdown on 23rd March 2020.  Instead we will move dates without charge at the same price as originally booked.  It is important that you understand this when booking.  We recommend that you have comprehensive travel insurance.  Your coverage in the event of coronavirus-related issues will depend on your insurer.  Please contact them if you have questions.

Payments

To secure your booking, a non-refundable deposit of 25% of the total cost of your stay is required.  You may also choose to pay the full balance at the time of booking.

Full payment is required at the time of booking if your stay is less than two weeks away.

The remaining balance must be paid in full two weeks before your stay.  You’ll receive a reminder email before the payment is due and a confirmation email once payment is received.

If the balance is not paid by the due date, Cuckmere Camping Pods reserves the right to re-let the pod and retain the deposit.

Payment will be accepted online through our secure website booking system by credit/debit card.  No entry to the pods will be allowed without payment, in full, being received in cleared funds beforehand.  Once you have a confirmed booking (i.e. the booking deposit has been paid and processed), you are responsible for the full rental cost even if you subsequently cancel.

Occupancy

For insurance & comfort reasons, no more than 2 adults and up to 2 infants/children (16 years and under) can occupy an individual pod.  There are no exceptions in any circumstances to these occupancy rules.  Guests found flouting these rules will be asked to leave and will forfeit all sums paid. 

Pod Rules

Hire of the pods is on the understanding that guests will take all reasonable care of the accommodation and its contents and leave the property in a clean and tidy condition on departure.  Cleaning products are in the pod for your use.  This includes the hob, microwave, fridge, sink area, crockery, cutlery, pans, utensils and shower room.  Bins need to be emptied and rubbish and recycling sorted into the bins by the car park before your departure.  Cuckmere Camping Pods reserves the right to enter and inspect the pods at any time.  If a pod is left in an unsatisfactory condition or damaged in any way, we reserve the right to charge costs to the payment method on booking, or to invoice guests following their stay.

Damage, Loss and Theft

Guests agree to inform the owners of any damage or loss however caused, excluding reasonable wear and tear incurred during occupation. Guests should not remove any item from the property. If you discover that anything is missing or damaged on arrival in your pod you must notify us immediately. If you do not notify us we will assume that you caused the relevant damage or loss.  You will be responsible for the cost of any damage to the pod or its contents caused by you or by any member of your party and we reserve the right to charge reasonable replacement costs to the payment card used at the time of booking, or invoice guests following their stay. 

Keys

If keys are damaged there will be a £5 replacement charge per key.  Any lost keys will be charged at £45 as we will have to replace the key and the locking system for security reasons.  We encourage guests to use the key safe provided to avoid taking keys off site.

Arrival and Departure

Guests self check-in at Cuckmere Camping Pods.  There’s a key safe at each pod and you’ll be sent the code a few days before arrival to let yourself in.  If you have not received this information prior to setting off for your holiday, please contact us as there maybe no one on site when you arrive.

Check-in is from 3pm. We ask that guests don’t arrive early so we have time to prepare.  We are unable to accept check-ins after 8pm unless by prior arrangement.  We would encourage you to arrive during daylight hours wherever possible due to limited lighting at the pod site due to our rural location in a National Park and associated planning restrictions.

Check out is up to 11.00am.  Please leave your keys in the key safe outside your pod, using the code provided to you for your arrival.  Late checkout may incur additional charges if not arranged in advance.

We work on the farm most of the day and are present on the pod site several times a day.  If you need anything, we will provide you with a contact mobile number so you can text or call with any queries or maintenance issues.

Group Bookings

We are a family glamping site. We do not accept hen or stag party groups or similar types of group.

Site Rules/Code of Conduct 

We expect all guests to respect and look after the site and the pod in which you are staying in and respect our safety rules.  Please respect your fellow guests and have consideration for others at all times.

  • We are a working farm site, children must be supervised at all times.

  • Our pods are in a designated field but on a working livestock farm.  There may be tractors and machinery moving around close to the pod site.  Access to the farmyard and buildings is not permitted. 

  • No high noise levels after 9pm and strictly no noise after 10.00pm and before 7am. 

  • No amplified music.

  • Drunken, abusive or inappropriate behaviour will not be tolerated.

  • No ground fires.

  • No Chinese lanterns or fireworks.

  • No naked flames in the pods including tea lights and candles.

  • No flying of drones or other RC.

  • Leave no trace on the land.  We provide a variety of bins in your accommodation and at the car park.

If the Site Regulations are breached, in serious circumstances, we may ask you to terminate your stay without a refund.

Linen & Towels

Accommodation prices include a mattress topper and bedsheet on the double bed.  When booking for extra child guests, a mattress protector and bedsheet will be provided for the sofa bed too. You can order full bedding packs for the double bed and sofa bed as optional extras at £15 and £10 respectively. 

Towels are not provided as part of the accommodation cost.  You can order towel bundles as an optional extra at £6 for two bath towels and two hand towels or bring your own. We do however provide a hand towel and shower mat in the shower room as part of the booking. Please bring your own outside/beach towels and do not remove our bedding or towels from the pods. 

We reserve the right to charge reasonable replacement costs for any spoilt linen or towels due to misuse.

Parking

There is one allocated parking space for each pod in a private car park adjoining the pod site.  Please contact us if you need to arrange any additional parking.

Children
For parents of young children, please note that the pod site is not fence enclosed and is in proximity to the farmyard and parking area.  At times there will be electric stock fencing around parts of the site when sheep or cows are grazing the adjoining field.  Parents are responsible for their children, and children must be supervised at all times.  Please keep a close eye on your children and do not let them wander about the farm.   If you have any concerns prior to making your booking, please contact us to discuss. 

Dogs & Pets

We have a NO DOGS & PETS policy sorry.  Whilst we love dogs and have our own, unfortunately we cannot accept dogs due to the close proximity of cows and sheep to the pod site, and due to the nature of our working livestock farm.  We do not accept any other type of pets.

Smoking

There is absolutely NO SMOKING (including e-cigarettes) permitted in either the pods or on the pod site, nor anywhere around the farmyard and buildings.

Fire Pits

A small fire pit is provided to each pod for the use of our guests.  Please be aware that open fires are a hazard, particularly near wooden buildings and you should therefore use them responsibly.  Only adults may use the fire pit and children must be supervised around them at all times.   A lit fire must never be left unattended.  The fire pits must never be put onto the decking, or near the pods.  Logs are available to order as an optional extra. Only wood purchased from Cuckmere Camping Pods can be used for fire pits.  Please do not collect any wood from the farm for burning.   Occasionally, in extreme heat and dry ground conditions, we reserve the right to remove the fire pits from the site in the interest of safety.

BBQs
Small charcoal BBQs are available to book for your stay.  We offer these at a small charge to allow for cleaning at the end of your stay.  We offer a “BBQ pack” extra which includes charcoal and firelighters.  Guests may bring their own charcoal however.  BBQs must not be used on the decking and be placed a sensible distance from the pods.  Only adults may use the BBQ with any children on site supervised at all times.  No disposable BBQs permitted.  Occasionally, in extreme weather – wind/heat and dry ground conditions, we reserve the right to remove the BBQs from the site in the interest of safety.

Extra Visitors
Extra visitors who are not staying on-site may be permitted to visit Cuckmere Camping Pods but we do ask that you please speak to us beforehand to make arrangements.  This is to safeguard the comfort and security of all our guests.

Food Deliveries

We cannot take any food or other deliveries due to our location and vehicular access arrangements.

Site Conditions

The main site itself is maintained and mown but please note that there may be undulations, and other uneven ground around the site.  Suitable footwear should be worn at all times and a good torch used at night.  Please take care if playing games on the site.

The Farm Environment

Please be aware that Cuckmere Camping Pods is situated on a working farm.  There is often farm activity nearby and complete silence cannot be guaranteed!   At certain times of the year important jobs need to be carried out such as lambing (February) and silaging (May/June) and there can sometimes be smells and noise, for example the sheep can be very noisy at feeding times when they are in the barn for lambing.  Livestock is checked twice daily by quad bike.

Access

We shall be allowed reasonable right of entry to the pods at all reasonable times for purposes of inspection or to carry out any necessary repairs or maintenance.  We would contact you to make arrangements in such circumstances unless it was deemed an emergency.

Liability
Whilst we take care to keep you safe, accidents can happen and we are not held responsible for such accidents (to the greatest extent permitted by law). We accept no responsibility for any theft, loss or damage, of whatever nature, during or as a result of a stay at Cuckmere Camping Pods except where such loss or damage has arisen as a result of our negligence or a breach of our duty to you.  It is your responsibility to supervise any children. If you notice that any equipment looks faulty and/or unsafe you must inform us as soon as possible. We strongly recommend that you take out travel insurance against the risk of accidents and your stay being cut short or cancelled.

Property Information & Prices

Whilst every effort has been made to ensure the accuracy of the information provided either verbally or written all representations have been made in good faith, no such representations will create any liability on the part of us.  You accept that no refunds are available for such discrepancies.   The prices on the Cuckmere Camping Pod website are not binding and Cuckmere Camping Pods reserve the right to modify these prices.  The price stated on the booking confirmation letter (sent after automated booking summary) is binding.  Special offers and/or discounts cannot be used after you have booked your stay.

Cancellation Policy
We strongly recommend that you take out UK travel insurance when you make your booking.

In the event of cancellation more than 28 days before arrival, you will lose your deposit fee.  Any cancellation made 28 days or less before arrival will result in the entire rental amount being forfeited.  If we can re-sell you booking, you will just forfeit your deposit.  Cuckmere Camping Pods is not obliged to attempt to re-sell your booking.

Cancellations must be immediately notified to us in writing by email.

In the event of no-shows, we do not offer any (either full or partial) refund.  If you cancel your booking after the booking start date, we will not issue any refund for any remaining nights of your booking. To clarify, this includes where you cancel your booking for any reason outside of your reasonable control, including without limitation, inclement weather and illness.  We strongly recommend you take out holiday insurance to compensate you in these circumstances.

Cancellation by ourselves
Cuckmere Camping Pods will endeavour to make sure the stated camping pod is available for the dates contracted.  If for any reason your accommodation becomes unavailable due to unforeseen circumstances and no alternative is available all monies shall be returned in full and we shall not be under any other liability.  No compensation or consequential losses shall be paid.

Force Majeure

If we are unable to offer accommodation due to circumstances beyond our control, we are not liable for refunds or expenses incurred.  We recommend that you have adequate holiday insurance in place to cover this.  This means if we are prevented, hindered or delayed from performing our obligations due to an event outside our control, including any action or order from the government, we will be relieved of our obligations. In the event of this happening, we will offer guests the opportunity to change the dates of their stay.  No refunds will be offered.

Typical ‘Force Majeure’ events include, but are not limited to, pandemic, terrorism, serious crime, natural disaster, ‘Act of God’, government or public authority action or intervention, law and travel restrictions.

Return of Personal Belongings
For left belongings you are required to pay the cost of returning any items to you.  You may of course arrange to collect any items from us at your earliest convenience.  Left items will be kept for a period of 1 month after departure and thereafter disposed of.


Data Protection
All personal information supplied to us by you will be treated in confidence by Cuckmere Camping Pods and will not be disclosed to any third parties except where your consent has been received or where required by law.  In order to provide you with a service, this information will be held in the data systems of Cuckmere Camping Pods.  Only persons permitted to access your information are those employed or authorised by us.  See our Privacy Policy for further information.

Complaints

We take great care to ensure you have an enjoyable stay at Cuckmere Camping Pods.  If you have a problem with your accommodation or anything on the site during your stay, please advise us immediately and we will try to resolve it as soon as possible.  In no circumstances will compensation be made for complaints raised after the holiday period has ended. Please let us know of any damage, breakages or maintenance issues that you come across. 

Breach of these terms and conditions

If you, any other person in your party or people visiting you during your stay commit a breach of these Terms and Conditions, the owners of Cuckmere Camping Pods have the right to terminate your booking and may require you to vacate the property immediately and no refund of the fees you have paid will be returnable to you.

General

In the event that any individual term or clause stated in these terms and conditions of let is not permissible by law, the remainder of the agreement shall remain valid.  These terms and conditions are governed by English law. You and we both agree to submit to the exclusive jurisdiction of the English courts.
